Finding your creative flow can be a challenge with all the distractions (coworkers, social media, your favorite doggy barking, planes flying overhead, taxis blaring their horns, #citylife).
But don’t worry–I’ve got your back with a list of app types that’ll help you tap into your flow state so that you can power through all the hustle and bustle around you. I’m going to share with you 5 types of apps that you can use to help you keep your focus and keep (some) distractions to a minimum.
FOCUS TIMER APPS ⏲️
Why they’re perfect for you: These apps (aka Pomodoro apps) help you stay focused and avoid distractions, making productivity fun.
How they work: You set a timer for your work session, and the app keeps track of your focused time. Many focus timer apps allow you to maintain a winning streak, set goals, or even work along with others. This gentle accountability encourages you to stay on task.
Benefits:
- You become more aware of how you spend your hours working.
- Regular, focused work sessions help you accomplish more in less time.
- Breaking your work day into manageable chunks makes large projects feel less overwhelming.
- By clearly chunking up your work time, you also create clearer boundaries for leisure time.
Try starting with shorter focus sessions (like 25 minutes) and gradually increase the duration as you build your concentration stamina. Remember to take short breaks between sessions to recharge–this rhythm can significantly boost your overall productivity and creativity. (I sometimes use a 5 minute focus session just to get jump-started!).
You can find these apps free online, download to your desk top, or use it on your mobile device. Here’s a list of some of the best apps in this category.
ALL-IN-ONE ORGANIZER APPS 🧠
Why they’re perfect for you: These apps are like your personal command center. They help you organize everything you can imagine (work, hobbies, creative projects, home projects, etc.) and make your life easier.
How they work: These apps often have clean, minimalist interfaces that let you create your own productivity system. So whether you prefer bullet journal-style planning or Kanban boards, you can design a setup that feels just right for your working style.
Benefits:
- By storing all your information in one place, you free up mental energy for creative work.
- Easily categorize and link related ideas, tasks, and projects for a clearer overview.
- Quick access to all your information helps you stay on track and move seamlessly between tasks.
- Customize your organizational system to fit your unique thinking and working style.
Create a “Brain Dump” page in your organizer app where you can collect all those random ideas floating around in your head. It’s like journaling, but more organized (and searchable!).
Notion is a very popular app, but there are also many alternatives that you can try out to see which works the best for your style.
MINDFULNESS & MEDITATION APPS 🧘♀️
Why they’re perfect for you: Sometimes, the best way to boost creativity is to quiet your mind first. These apps help you do just that (without any pressure to be a meditation guru).
How they work: You choose from guided meditations, breathing exercises, or nature sounds. Many also offer “Sleep Stories” for those nights when your brain won’t shut off (we’ve all been there).
Benefits:
- Regular mindfulness practice can enhance your ability to concentrate on tasks for longer periods.
- These apps provide tools to help you manage stress and anxiety, creating a more conducive environment for creative thinking.
- By clearing mental clutter, mindfulness can open up space for new ideas and innovative thinking.
- Many of these apps include features to help you relax before bed, leading to more restful sleep and increased productivity during the day.
Try a short mindfulness session before starting your work. It can help clear your mind and set a calm, focused tone for your creative process.
My favorite is Brain.fm which includes a Focus timer, as well as nature sounds and meditations. Click here for a few other meditation apps to check out.
VISUAL PROJECT MANAGEMENT APPS 📊
Why they’re perfect for you: These project management apps are like having a wall of sticky notes, but without the mess (or the need to explain your system to anyone else). These apps turn complicated projects into simple visuals, so you can manage your work without getting overwhelmed.
How they work: In most of these apps, you can create boards for your projects, then add cards for individual tasks. Drag and drop to prioritize or mark things as done. It’s satisfying, visual, and blessedly quiet.
Benefits:
- Picture your whole workflow, so you can easily see where your project is headed.
- Easily reorder your tasks visually, helping you focus on what’s most important.
- Very flexible, so you can use them to track almost any kind of work or project.
- The satisfaction of moving tasks across your board can boost motivation and help you stay on track.
These apps are great for collaborating with others when you need to, without the need for constant meetings or check-ins. Phew!
My favorite project management tool is Trello. I love creating graphics for the cards and moving them around into categories. Here’s a list of free visual project management apps to look into.
DISTRACTION BLOCKING APPS 🚫
Why they’re perfect for you: Sometimes, you just need the internet to leave you alone for a bit. These apps let you block distracting websites and apps, creating a quiet digital space for you to flourish (and be productive).
How they work: Set up block lists of sites or apps that tend to pull you away from your work. Then, start a session and these distractions become inaccessible for a set period of time-magically disappear (until you’re ready for them again).
Benefits:
- By removing digital temptations, you can concentrate more deeply on your creative work.
- Without constant interruptions, you’ll likely find you complete tasks more efficiently.
- These apps can help you recognize your digital habits and how they affect your productivity.
- Reduced stress: Limiting exposure to potentially stressful or overwhelming online content can create a calmer work environment.
Use these apps during your peak creative hours to maximize your productivity and creative output. Use these apps during your peak creative hours. You’ll be amazed at how much you can accomplish when social media isn’t calling your name every five minutes.
You can find these apps in the form of browser extensions, mobile apps (if you work a lot on your phone), or desktop apps. Click here to review a list of some popular distraction blocking apps.
Remember, there’s no one-size-fits-all when it comes to creativity and productivity. These app types are here to support you, not add to your stress. So take it slow. Experiment with what feels right. And most importantly, be kind to yourself in the process.
